Privacy Policy
This policy explains how ICMG Education collects, uses, and protects the personal information you share with us through this website.

1. Overview
This website is operated by ICMG Education (ICMG), a community weekend school and an initiative of ICMG Australia. ICMG Education provides Turkish and Arabic language and cultural education for children. Where this policy refers to “we”, “us”, or “our”, it means ICMG Education.
We are bound by the Privacy Act 1988 (Cth) and other Commonwealth and State laws that impose obligations on how we handle personal information. We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act as the minimum standard for handling personal information, and we comply with the Spam Act 2003 (Cth) in relation to electronic messages.
In broad terms this means that we:
- publish this Privacy Policy in full on our website;
- collect only the information we need to carry out our functions;
- obtain consent to collect personal information;
- inform you, when collecting your personal information, of our contact details, why we collect it, who we may give it to, whether any law requires its collection, that you can access it, and the consequences if some or all of it is not provided;
- use and disclose personal information only for the purpose it was provided or a directly related purpose;
- do not use personal information for a secondary purpose unless consent is obtained or the law permits it;
- store personal information securely and protect it from unauthorised access; and
- provide you with access to your own information and the right to seek its correction.
2. About This Privacy Policy
We respect your personal information and your right to privacy. Protecting your privacy when handling your personal information is important to us and is fundamental to how we serve our students, prospective students, and the wider community. This Privacy Policy describes the information we may collect, the choices you can make about it, and how we protect it.
This Privacy Policy is published on our website to meet our obligation under Australian Privacy Principle 1.3, which requires us to set out how we manage personal information in a clearly expressed document available to anyone who asks for it.
Your submission of an enquiry, or your use of this website, constitutes an acknowledgement that you have been made aware of this policy.
This policy does not create or confer any rights, or impose any obligations, beyond those imposed by the Privacy Act 1988 (Cth), the Spam Act 2003 (Cth), or related legislation. If there is any inconsistency between this statement and the Act, this statement is to be interpreted to give effect to, and comply with, the legislation.
3. What Is Personal Information
“Personal information” means information or an opinion about you from which your identity is clear or can reasonably be determined. When you give us your personal information, it places a responsibility on us to handle it carefully, lawfully, and only for the purposes described in this policy.
4. Collection Covered by This Policy
This Privacy Policy applies to personal information collected by ICMG Education, including but not limited to information collected through this website.
This website may link to sites we do not operate, for example the external enrolment portal, the ICMG Australia website, and our social media pages. We are not responsible for the privacy practices of those sites, and we recommend you review the privacy policy of each site you visit.
5. Collection of Personal Information and How We May Use It
Generally, we collect personal information directly from you, and only to the extent necessary to respond to your enquiry or carry out our educational and administrative functions. We may collect personal information when:
- you submit an enquiry or question through our website contact form;
- you enrol your child through the external enrolment portal;
- you ask to receive updates about our programs, intakes, or events;
- you deal with us over the telephone or in person; or
- you email us, or ask us to contact you after visiting our website.
We collect personal information by lawful and fair means and not in an unreasonably intrusive way. We use your personal information only for the purpose you provided it, or for a directly related purpose, and otherwise only where required or permitted by law, or with your express or implied consent.
6. How Different Information Is Used
We only collect the personal information necessary to respond to your enquiry or carry out internal administrative functions. What we collect depends on how you interact with us. Some examples:
Contact-form enquiry: when you submit the contact form, we collect your name, email address, optional phone number, the enquiry type you select, and your message. We use these details to respond to your enquiry and to keep a record of our correspondence.
Enrolments: enrolments are submitted through an external online portal rather than this website’s contact form. Information you enter there is handled in accordance with the portal provider’s privacy policy and our enrolment processes. We use enrolment information to assess and administer your child’s enrolment and to communicate with you about it.
Updates you opt in to: if you have indicated that you would like to receive updates, we use your email address to send occasional news about programs, intakes, and events. You can unsubscribe at any time (see section 9).
Spam and abuse protection: when you submit the website form, we also record limited technical metadata such as your IP address and browser user-agent string. This metadata is used solely to detect and prevent automated abuse of the form, and is held separately from the content of your enquiry.
7. Unsolicited Information
If we receive unsolicited personal information that we are not authorised to collect under the Privacy Act, we will, within a reasonable period, decide whether we could have collected it had we asked for it. If we could not have, we will, where it is lawful and reasonable to do so, destroy the information or ensure it is de-identified.
8. Your Rights and Choices
Under the Privacy Act 1988 (Cth), you have the right to access the personal information we hold about you, to request correction of any information you believe is inaccurate, and to make a complaint about how we have handled your personal information. Section 22 explains how to contact us to exercise these rights.
You may also choose not to provide certain information. In some cases this may limit our ability to assist you. For example, we cannot reply to an enquiry if you do not provide a way to contact you.
9. Communications and Updates
From time to time we may send you updates about our programs, intake dates, or events. We will only send these where you have given consent, whether by indicating so on the contact form, by responding to a request from us, or where it is otherwise permitted under the Spam Act 2003 (Cth).
Every electronic message we send for these purposes will include a clear means of unsubscribing. You can also withdraw consent at any time by emailing us at the address in section 22.
We do not sell, rent, or trade your personal information, and we do not share it with third parties for their own marketing purposes.
10. Information Sharing
We may disclose your personal information only in the following limited circumstances:
- to ICMG Australia, where coordination across the broader organisation is reasonably required to administer a program or respond to your enquiry;
- to third-party service providers who help us operate the website, host related services, or send communications on our behalf (see section 11);
- where required or authorised by Australian law, for example in response to a lawful request from a regulator or a court order; and
- where you have given us consent to do so.
11. Third-Party Service Providers
We engage a small number of third-party service providers to support specific functions of the website. These providers are bound by their own privacy obligations and may only use the information we share for the purpose for which it was disclosed:
- Google LLC: provides Google Analytics 4. Analytics runs only with your consent (see sections 18 to 20). Google’s own privacy policy applies to this service.
- Website hosting provider: serves this website and may automatically log standard request information (see section 17).
- Email provider: used to send and receive correspondence, including any confirmation emails. The provider processes this information only as instructed by us and only to the extent required to deliver the service.
12. Updating Your Information
We rely on you to ensure your personal information is accurate, complete, and up to date. If your contact details, name, or other information change, please let us know using the details in section 22 so we can update our records.
13. Access to Your Personal Information
You may request access to the personal information we hold about you at any time by contacting us using the details in section 22. We will respond within a reasonable period and provide access in the manner you request, unless it is unreasonable or impracticable to do so. There is no charge for making a request, though in some circumstances we may charge a reasonable fee to cover the cost of providing access (for example, where significant retrieval work is required).
If we refuse access, for example where access would have an unreasonable impact on the privacy of others, or where we are required by law to refuse, we will provide written reasons.
14. Data Breaches
If we become aware of any unauthorised access to, or loss of, personal information we hold, we will assess whether the incident is likely to result in serious harm. Where it is, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth).
15. Information Security
We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include the use of secure (HTTPS) connections to and from the website, restricted administrative access to enquiry records, and the engagement of reputable infrastructure providers.
No method of transmission over the internet, or method of electronic storage, is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security, and you provide your information at your own risk.
16. Children’s Privacy
This website is intended for a general, predominantly adult audience (parents and guardians). We do not knowingly collect personal information from children under 16 without the consent of a parent or guardian. If you believe we have collected such information without that consent, please contact us using the details in section 22 and we will take steps to delete it.
17. Information Collected on This Website
When you visit our website, our hosting provider’s servers may automatically log information including the originating IP address, the date and time of the visit, the pages viewed, and the type of browser and operating system used. This information is used for the operation, security, and statistical analysis of the website.
When you submit the contact form, we additionally record the information you choose to enter (name, email, optional phone, enquiry type, message), together with metadata used for spam protection (IP address and user-agent).
Spam-protection metadata is retained for a short period (no more than 60 days). Enquiry records are retained only for as long as needed to handle your enquiry and for a reasonable period afterwards, after which they are deleted. Enrolment information submitted through the external portal is retained in line with our enrolment processes.
18. Google Analytics
With your consent, we use Google Analytics 4 to collect aggregated, anonymised information about how visitors use our website. This helps us understand which pages are most useful and how to improve the site. Google Analytics 4 does not record your IP address in identifiable form by default.
We use Google’s Consent Mode so that no analytics data is sent to Google before you have given consent. If you have not granted consent, or if you have declined or revoked it, no analytics tags fire and Google receives no data from your visit. We do not use your personal information for third-party advertising or remarketing.
19. Cookies
A “cookie” is a small text file that a website places on your device. We use the following cookies and similar storage:
- A first-party local-storage entry that records your cookie-consent choice (“granted” or “denied”). This is the only item we set without your consent, and it exists solely to remember your decision so we don’t ask again.
- A first-party cookie that records your language preference, so the site remembers whether you chose English, Turkish, or Arabic.
- Google Analytics 4 cookies (set on Google’s domain), which run only after you have granted consent and help us measure visitor activity in aggregate. Google’s retention policy applies.
20. Cookie Consent and Your Choices
When you first visit the site, a cookie banner offers you the choice to accept or decline analytics cookies. Your choice is stored locally and respected across the site. Declining does not affect your ability to use the site or contact us.
You can change your decision at any time using the Cookie Settings link in the footer, which re-displays the banner and lets you grant or revoke consent. Revoking consent stops any further analytics data from being sent to Google.
You can also clear cookies and local storage through your browser’s settings at any time. Doing so resets your consent choice, and the banner will reappear on your next visit.
21. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last updated” date. Material changes will be communicated more prominently, for example via the cookie banner or a notice on the site. Your continued use of our website after changes are posted constitutes acceptance of the updated policy.
